DIRECT BOOKING TERMS & CONDITIONS

Quinta da Bella Vista is a historic private family estate. Direct bookings are accepted selectively and are subject to the following terms, conditions, and security requirements.  By proceeding with a direct booking, you confirm that you have read, understood, and agree to comply fully with these terms.

 

 

IDENTIFICATION, AND DATA PROCESSING
 

In accordance with Portuguese law and internal security policies, all adult guests must provide a clear copy of a valid government-issued photo identification (passport or national ID) prior to confirmation. Guest data is required for registration with the Portuguese Immigration and Borders Service (SEF) and for internal security purposes and is processed in full compliance with GDPR and Portuguese data protection legislation.

CREDIT CARD

​

A valid credit card is required for all direct bookings. All accommodation payments and security guarantees are processed securely via our authorised payment provider, SumUp.   At no point are credit card details collected or accepted by email, WhatsApp, or telephone.

PAYMENT, CONFIRMATION AND CONDITION OF CHECK-IN

Upon receipt of the required identification details, two SumUp payment links will be issued:

• One for the accommodation payment and

• One for the refundable security guarantee.

 

The security guarantee is a mandatory condition of check-in and must be settled either in advance via the payment link or, at the discretion of Quinta da Bella Vista, secured on arrival by credit card pre-authorisation using an approved on-site terminal.

The booking becomes effective and confirmed only once the accommodation payment has been completed and the security guarantee requirement has been fulfilled.

 

 

REFUNDABLE SECURITY GUARANTEE

For all direct bookings, a refundable security guarantee of €750 is mandatory.

​

• When secured by pre-authorisation, no funds are captured unless applicable charges arise.

• When charged in advance, the guarantee is refunded after departure, subject to full compliance with these terms and banking processing timelines.

• The security guarantee covers, without limitation, damage to property, furnishings, artworks or landscaping, missing items or access devices, smoking violations, unauthorised guests, gatherings or events, excessive cleaning or restoration, and security breaches or misuse of access codes.

 

Quinta da Bella Vista reserves the right to deduct any applicable costs from the security guarantee.

ENTIRE VILLA RENTALS

Entire villa rentals are governed by a separate villa rental agreement, which supersedes these terms where applicable. For group bookings involving exclusive use of an entire villa, an additional refundable security guarantee applies. This guarantee is calculated as a percentage of the total villa rental fee, with the applicable percentage and amount communicated prior to booking confirmation.

 

HOUSE RULES 

 

Quinta da Bella Vista is a private estate dedicated to tranquility, discretion, and security.

The following rules apply without exception:

• Registered guests only, no visitors or invitees

• No parties, gatherings, or events of any kind

• Quiet hours from 10:00 pm to 8:00 am

• Strictly non-smoking throughout the estate, including rooms, terraces, and outdoor areas

• Access codes are personal, confidential, and must not be shared

Any breach of house rules constitutes a material breach of contract.

ACCESS, SECURITY & SURVEILLANCE (CCTV)

​

Personal gate access codes are issued strictly for the registered guest’s use and are traceable and monitored.

• Sharing access codes with drivers, couriers, service providers, or third parties is strictly prohibited

• Courier, Uber, or third-party vehicle access inside the estate is not permitted

For security reasons, the estate is monitored by CCTV and night security patrols, in accordance with Portuguese law.

 

Any access or security breach may result in immediate termination of the stay without refund.

KEYS, ACCESS DEVICES & FINES

 

All keys, remotes, access cards, and electronic access devices must be returned in full upon check-out.

The following charges apply and may be deducted from the security guarantee:

• Lost or unreturned key or access device: €250 per item

• Lost or unreturned remote or electronic access device: €350 per item

• Lock reprogramming or rekeying (where required): charged at cost, with a minimum charge of €500

These charges reflect security risks and operational costs associated with a private estate.

 

SMOKING, CLEANING & RESTORATION COSTS

 

Quinta da Bella Vista operates a strict non-smoking policy.

Any violation will result in mandatory deep cleaning, deodorization, and restoration of affected areas.

Costs will be charged at actual cost, with a minimum charge of €500, and may exceed this amount depending on the extent of remediation required.

POOLS, CHILDREN, ANIMALS & ESTATE GROUNDS – LIABILITY & SAFETY:

 

Quinta da Bella Vista is a historic private estate with extensive grounds, water features, animals, and natural terrain. Guests acknowledge that such environments carry inherent risks.

 

 

SWIMMING POOLS

 

• There is no lifeguard on duty at any swimming pool on the estate

• All use of swimming pools is entirely at the guest’s own risk

• Children must be supervised at all times by a responsible adult

• Running, diving, and unsafe behavior around pool areas is strictly prohibited

• Quinta da Bella Vista accepts no liability for accidents, injury, or loss arising from the use of swimming pools.

• Pool use depends on your booking

• The Palacio Pool is strictly Adults-Only

• The Estate reserves the right to evict guests from the pool if behavior is deemed unsafe

• Strictly no glassware around pools - includes bottles

• Absolutely no infants in pools

• Pools hours are 9:00 AM to one hour before sunset. No entering the pool areas or swimming after sunset or in the dark

• Use of pool areas outside permitted hours constitutes a safety violation and may result in immediate eviction without refund.

CHILDREN ON THE ESTATE

​

Parents or legal guardians are solely responsible for the supervision, safety, and conduct of minors at all times.

This includes, without limitation:

• Swimming pools and pool surroundings

• Gardens, terraces, stairways, and uneven terrain

• Historic structures and outdoor areas

Quinta da Bella Vista accepts no responsibility for injuries, accidents, or loss involving children due to inadequate supervision.

 

 

ANIMALS & ANIMAL FARM

 

The estate is home to resident animals and includes an animal farm area.

• Interaction with animals is entirely at the guest’s own risk

• Children must be supervised at all times when near animals

• Feeding, handling, or entering animal enclosures is only permitted when expressly authorized by staff

• Animals may behave unpredictably. Quinta da Bella Vista accepts no liability for injury, allergic reactions, illness, or damage resulting from contact with animals.

NO PETS POLICY

 

Quinta da Bella Vista operates a strict no-pets policy.

• No pets of any kind are permitted on the estate, including dogs, cats, birds, or any other animals

• This policy applies to overnight stays, villa rentals, and direct bookings, without exception

• Requests for temporary visits by pets or animals are not permitted

Any breach of this policy constitutes a material breach of contract and may result in:

• Immediate termination of the stay without refund

• Removal of the animal from the estate at the guest’s expense

• Deduction from the security guarantee for additional cleaning, sanitization, or damages

This policy exists to protect resident animals, guests, staff, and the integrity of the estate.

 

No exceptions apply to this policy, including temporary visits or overnight stays and/or service pets.

ESTATE GROUNDS & NATURAL ENVIRONMENT

 

The estate includes uneven ground, natural landscaping, historic pathways, water features, and agricultural areas.

Guests are responsible for exercising appropriate caution at all times.
Quinta da Bella Vista accepts no liability for accidents, injury, or loss arising from the natural characteristics of the estate.

 

 

GUEST RESPONSIBILITY & ASSUMPTION OF RISK

 

By staying at Quinta da Bella Vista, guests expressly acknowledge and accept the inherent risks associated with a private historic estate and agree to assume full responsibility for themselves, their companions, and any minors under their care.

DAMAGES & LIABILITY

 

Guests are fully responsible for any damage, loss, or excessive wear caused during their stay, including to buildings, interiors, furnishings, artworks, outdoor areas, and estate infrastructure. Damage assessments are conducted after departure. Costs may be deducted from the security guarantee. If damages exceed the guarantee, the guest remains liable for the balance.

RIGHT TO EVICT & TERMINATION OF STAY

 

Management reserves the absolute right to terminate a stay immediately, without refund, in the event of:

• Breach of house rules

• Unauthorized guests or events

• Noise disturbances

• Smoking violations

• Security or access breaches

• Conduct deemed disruptive, unsafe, or disrespectful

 

Eviction does not limit the right to claim damages or deduct costs. 

 

Eviction does not affect Quinta da Bella Vista’s right to retain or deduct from the refundable security guarantee for any applicable costs or damages.

CANCELLATION POLICY

(ROOMS & SUITES ONLY – DIRECT BOOKINGS)

 

The following cancellation policy applies exclusively to room and suite bookings made directly with Quinta da Bella Vista. This policy does not apply to the exclusive rental of entire villas, which are governed by a separate contract and cancellation terms provided at the time of booking.

Cancellation terms for rooms and suites are as follows:

• More than 30 days prior to arrival: Full refund of accommodation fees paid, excluding any non-refundable payment processing fees.

• Between 30 and 14 days prior to arrival:  50 percent of the accommodation fee is refundable.

• Less than 14 days prior to arrival, no-shows, or early departures:  100 percent of the accommodation fee is non-refundable.

 

Any refundable security guarantee paid is returned in full in the event of cancellation, provided no damages or costs have already been incurred.

Cancellations must be made in writing by email to: bookings@quintadabellavista.com

The effective date of cancellation is the date written notice is received.

FORCE MAJEURE

(ROOMS & SUITES ONLY)

 

This force majeure clause applies solely to room and suite bookings at Quinta da Bella Vista.

Entire villa rentals are expressly excluded and are subject to separate contractual force majeure provisions.

 

Quinta da Bella Vista shall not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond its reasonable control, including but not limited to:

• Acts of God, natural disasters, storms, floods, fires, earthquakes

• War, terrorism, civil unrest, or governmental actions

• Epidemics, pandemics, or public health emergencies

• Power outages, utility failures, or infrastructure disruptions

• Labor disputes, strikes, or transport disruptions

• Closure or restriction of access by public authorities

 

In the event of force majeure affecting room or suite bookings:

• Quinta da Bella Vista may cancel or modify the booking without liability

• Guests will be entitled to a refund of accommodation fees paid for nights not provided

• No additional compensation, damages, or costs shall be payable

 

Force majeure does not entitle guests to refunds where the estate remains operational and accessible.

RIGHT OF SET-OFF

 

Quinta da Bella Vista reserves the right to deduct any applicable charges from the security guarantee without prior notice.

If applicable charges exceed the security guarantee, the guest remains liable for the outstanding balance.

ACKNOWLEDGMENT

 

By proceeding with a direct booking, submitting identification, and providing payment details, the guest expressly acknowledges and agrees to all terms and conditions set out on this page.

 

Payment of the accommodation fee and the refundable security guarantee constitutes full acceptance of these Direct Booking Terms, Conditions, and Security Requirements.
